Setting Up Your CallFluent AI Workspace
Welcome to CallFluent AI! This guide will walk you through the essential steps to set up your workspace, integrate key services, manage members, and configure permissions. Follow these steps to get started quickly and make the most of your CallFluent AI experience.

1. Creating a New Workspace
- Log in to your CallFluent AI account.
- Click the Create Workspace button.
- Enter a name for your new workspace (e.g., "Business Workspace").
- Click Create.
- After creation, you'll be taken to the Workspace Settings screen.
Tip: Choose a clear, descriptive name for your workspace to help your team identify it easily.
2. Integrating Workspace Essential Services
In the Workspace Settings, you can connect various services to enhance your agents' capabilities:

Twilio Integration (Required):
- Enter your Twilio identification tokens and credentials in the Apps section.
- This enables your agents to make and receive phone calls.

Eleven Labs Integration (Optional):
- Add your Eleven Labs API key to use Eleven Labs voices

OpenAI Integration (Optional):
- By default, agents use the 4.o-mini language model.
- You can add your own OpenAI key to switch to a more advanced model (e.g., 4.o), which offers improved performance, especially with date handling.

Google Calendar Integration:
- Connect your Google Calendar so agents can check real-time availability and book meetings during live calls.

Go High Level Calendar Integration:
- Natively connect your Go High Level calendar for agents to check availability and book meetings.
Tip: Integrate all relevant services your team uses to maximize agent efficiency and automation.
3. Managing Workspace Members
Navigate to the Members tab to invite and manage workspace users:

Inviting Users:
- Enter the user's email address (e.g., [email protected]).
- Choose a role for the user:
- Guest: Can view and modify agents but cannot access workspace settings.
- User: Can view and modify agents and access workspace settings (e.g., connect apps and calendars), but cannot manage members.
Tip: Only the agency account admin can add or remove workspace users..
4. Configuring Workspace Usage Permissions
In the Workspace Settings, you can set usage limits for each workspace:
- Click the Edit button in the Usage Permissions section.

Set limits for:
- Number of available minutes
- Number of agents
- Maximum number of members

Unlimited Values: Setting a value to zero means there is no limit for that resource.

Notifications:
- Enable notifications to alert you when usage approaches set limits.
- For example, if you set a 10% threshold and allocate 100 minutes, you’ll be notified when available minutes drop below 10.
Tip: Use notifications to proactively manage your workspace and avoid service interruptions.
